Admin Email Notifications

ESDC Pro can email an administrator whenever something happens on a Device that's worth knowing about — even if nobody is sitting in front of it. This is a Pro feature; Free-edition devices don't send admin emails.

Turning it on

Open Settings, enter an address under Admin alert email, and restart XPOS ESDC. Every Device can point at a different address, or you can use the same one for all of them.

What triggers an email

EventWhen it fires
PIN approval requestedToo many wrong PIN attempts on a card — the next try now needs a Windows administrator to approve it on the Device.
PIN approval declinedThat administrator approval was declined or timed out.
Card permanently lockedA wrong PIN attempt used up the card's very last try.
Audit-amount thresholdA card's unaudited sales amount is approaching, or has reached, its limit.
Audit cadence stuckA Proof-of-Audit sat pending far longer than normal and had to be auto-cleared so the Device could keep working.
License expiring soonYour real subscription end date is within 14 days.
License rejectedA subscription expired, was suspended or revoked, or this device's specific seat was freed elsewhere — the device has been demoted to Free.
Seat replacedAn operator used the "all seats are in use" flow to free another device's seat and take it for this one.
Device activated / deactivatedThis device activated a license, or was manually deactivated.
Network access changedWho can reach this Device's local API was changed — worth knowing about either direction, since widening it increases risk.
Connection problemsThe Device can't establish a trusted connection to FRCS's TaxCore system, or a tax-rate resync failed.

Good to know

  • Emails are addressed to you by name (or your company name, if your account is set up for an organization) — pulled from your Defy account, not something you configure per-Device.
  • Repeated identical events are throttled to at most one email every 15 minutes, so a persistent issue won't flood your inbox — it's still recorded every time, just not re-sent that often.
  • License keys are never shown in full in an email, only a masked last few characters — an admin-alert email is never a security risk if it ends up somewhere it shouldn't.
