The POS Screen
The POS screen is where day-to-day selling happens — this page covers the full checkout flow, from adding items to taking payment.
The checkout flow
- Open POS.
- Select a customer. Walk-In Customer is selected by default; search an existing customer by name, email, or phone to pick someone else.
- Add products — type the product name or scan a barcode. If several products match, pick the right one from the dropdown; if only one matches, it's added automatically. Click the × on a cart line to remove it.
- Adjust an item if needed — click its name in the cart to change selling price, tax, or discount. Product-level tax editing only appears if Inline Tax is enabled (Business Settings → Tax → Enable Inline Tax in Purchase and Sell).
- Lot number / expiry — if lot tracking or product expiry is enabled (Business Settings → Product → Enable Product Expiry), choose the relevant lot number here.
- Cancel if needed — canceled sales aren't saved and stock is untouched.
- Finalize payment — click Finalize Payment, choose Multiple Pay if needed, enter the amount, and Save to complete the sale.
- Print the invoice — select Print Invoice after saving. Keep your browser's print margins set to Default for correct output.
Upload: the POS screen with a customer selected and a few items in the cart, and the Finalize Payment panel.
Splitting a payment across methods
A single invoice can be paid using more than one payment method — useful when a customer wants to combine cash, card, or another method.
- Add all items to the sale.
- Click Multiple Pay.
- Click Add Payment Row for each additional method, selecting the method and entering the amount for that row.
- Click Finalize Payment once the rows add up to the invoice total — the system won't let you finalize until they match.
Supported payment types: Cash, Card, Check, Wire Transfer, Voucher, Mobile, Other. Each split is recorded separately for accurate reporting, and — where TaxCore is connected — this complies with VSDC-based VMS requirements (see FRCS TaxCore Compliance).
Express checkout
Press Shift+E to mark the sale as Paid in cash and skip the payment screen entirely. Whether the invoice prints automatically still depends on your location's settings.
Credit sales
Full credit sale: enable Show Credit Sale Button under Settings → Business Settings → POS, then click Credit Sale on the POS screen.
Partial credit sale: e.g. an invoice totals $1,000 and the customer pays $700 — click Multiple Pay, select the payment method, enter $700, and finalize. The remaining $300 is saved as customer credit automatically.
Drafts, quotations & suspended sales
- Drafts / Quotations: select Draft or Quotation instead of finalizing — stock isn't deducted. View them under Sell → Drafts or Invoice → List Quotations, and edit before finalizing. To convert one to a real sale, open Actions → Edit, change the status to Final, and save. A quotation can also be copied via Actions → Copy Quotation.
- Suspended sales: click the cyan Suspended Sales button, enter a reference (e.g. a table or room number), and resume it later to finalize.
Adding a sale for a past date
From the POS screen: enable Transaction Date on POS Screen under Business Settings → POS, then select the date while selling. From the Sales screen instead: go to Invoice → Add Sale and pick the Sale Date directly.
Sales amount rounding
Set a rounding method under Settings → Business Settings → Sales — nearest whole number, or nearest decimal (e.g. 0.05). If nothing is selected, prices stay as whole numbers.
Paying a supplier's due amount
Go to Contacts → Suppliers → Actions → Pay Due Amount, enter the payment details, and save.
Keyboard shortcuts
Configure shortcuts under Settings → System Settings → POS Section — click a shortcut field, press the new key combination, and click Update Settings. Avoid combinations your browser already uses (e.g. Ctrl+T opens a new tab).
