Stock Transfers & Adjustments

Moving stock between locations, and recording losses or damage that need to come off the books.

Stock transfer

Moves products from one location to another (e.g. warehouse to store). Stock decreases at the source location and increases at the destination β€” but only once the transfer's status is Completed.

  1. Go to Stock Transfer → Add Stock Transfer.
  2. Choose the business location and the date.

Upload: the Add Stock Transfer form (From/To location and product list).

Editing: allowed while status is Pending or In-Transit; not allowed once Completed β€” delete and recreate it instead if changes are needed after completion.

Stock not showing at the destination? Check that the product is actually assigned to the destination location, and that the transfer's status is Completed (stock only updates then).

Hiding purchase price during transfer (e.g. from warehouse staff): go to Users & Roles → Users → Roles, edit the role, and uncheck "View Purchase Price" under the Product section.

Stock adjustment

Records stock lost to damage, expiry, or other write-offs.

  1. Go to Add Stock Adjustment, choose the business location and date.
  2. Choose the adjustment type:
    • Normal β€” regular/expected losses (leakage, minor damage, expiry).
    • Abnormal β€” unexpected/major losses (fire, accident, theft) β€” kept separate for reporting and analysis.
  3. Add the affected products and the quantity to reduce β€” this is deducted from available stock.
  4. Enter any recovered amount (e.g. an insurance payout, or scrap sale) β€” enter 0 if nothing was recovered.
